Salary range – 21.560,00 – 25.230,00 MDL gross 

Based on the assessment of the candidate's knowledge, skills, abilities and previous experience.

Education & Work Experience  

Qualification: 

- minim. 2 years of experience in the NGO sector or other international organizations; 

- Understanding of I/NGO sector and social and cultural dynamics in Moldova (understanding of the humanitarian, civil society context in Moldova will be an advantage)  

- Experience of working with sub-grantees, partners; 

- Excellent writing skills, ability to formulate ideas clearly and concisely, ability to generate large number of written quality materials in short time;  

- Strong skills in reporting, editing texts and processing information; 

- Analytical skills, experience and ability to analyse and present data, but also reflective thinking, and being able to understand the stories behind the data;  

- Strong organizational, problem-solving skills, creativity and ability to adapt approaches in fulfilling various tasks;  

- Ability to engage with different stakeholder internally (team members from other departments, e.g. programme/project staff, logistics, finance, etc.) and externally (donors, individuals, representatives of other I/NGOs, representatives of different level authorities, civil society organizations); 

- Languages – English/Romanian/Russian - Fluent in all aspects

Throughout its presence in the country, PIN has been contributing to the development of following sectors: Sustainable Livelihood and Environment, Social Inclusion and Protection, Good Governance. 

Position overview:   

The Grants and Partnership Assistant will support the Grants and Reporting Coordinator in reviewing grants, compiling documents for project proposals and reports, and ensuring compliance with donor requirements. Additionally, they will work with sub-grantees and partners, assisting in partner assessments, project monitoring, financial reporting, and routine oversight of partner activities. 

Duties & Responsibilities: 

Grants and Reporting: 

  • Supports the development of concept notes, project proposals, and modifications. 

  • Assists in drafting and proofreading donor reports to ensure quality and compliance. 

  • Provides staff with necessary guidelines, templates, and materials for reporting. 

  • Maintains organized records of grants-related documents in internal systems (SharePoint, ELO, Navision). 

  • Tracks donor reporting deadlines and coordinates data collection with relevant teams. 

  • Assists in proofreading and translating project documents, ensuring accuracy and approval. 

  • Prepares context analyses and needs overviews when required. 

  • Participates in internal and external meetings, taking minutes and ensuring follow-ups. 

  • Completes additional tasks assigned by the line manager or Head of Programmes. 

Partnership: 

  • Facilitates communication between PIN Moldova and its partners. 

  • Establishes and maintains strong partnerships with selected project partners. 

  • Ensures compliance with donor and internal regulations, policies, and requirements. 

  • Supports partner reporting efforts by collecting and reviewing necessary data and documents. 

  • Oversees partner assessment procedures (PAT, E-PAT) and ensures adherence to standards. 

  • Assists in the preparation of agreements and MOUs, ensuring legal correctness. 

  • Maintains and updates a database of partners and key contacts. 

  • Reviews narrative and financial reports submitted by partners in collaboration with project teams. 

  • Coordinates monitoring and evaluation efforts, collecting and submitting data electronically. 

  • Compiles partnership-related documents and ensures timely submission of required reports. 

  • Analyzes partnership performance and identifies areas for improvement. 

  • Prepares documents and gathers information from finance and program teams for project review meetings. 

  • Performs other duties essential for the quality implementation of activities.
