Education & Work Experience:

  • Proven experience in administrative or logistics environment;
  • Valid driving licence, with minimum of 3 years of driving experiences (date from first obtained driving license);
  • Computer literacy (independent user);
  • Language: Romanian and/or Russian (fluently read, write, speak), English(conversational);
  • The base location for services providers will be in Chisinau. Trips to the field shall be determined on as needed basis, this includes other projects sites of PIN;

It is one of the largest relief and development organizations in post-communist Europe and has administered projects in 37 countries over the past 30 years. From 2009 onwards, PIN has added development programmes to its work in Moldova, building a vision and practices that keep people and communities at the centre of our work. Throughout its presence in the country, PIN has been contributing to the development of the following sectors: Sustainable Livelihood and Environment, Social Inclusion and Protection, Good Governance.

Position Overview: 

The Logistics Assistant position primarily focuses on logistics assistance (70%) and includes supporting LO, fleet operation, base management, regional office administration, vehicle tracking, maintenance, repairs, seasonal operations, and purchases. The driver responsibilities (30%) involve adhering to transport policies, driving safely, maintaining the vehicle's condition, following road regulations and ensuring passengers' safety. Qualifications include experience in logistic or administrative support, a valid driving license, driving experience and language proficiency.
Duties & Responsibilities:
Logistic responsibilities (70%):
  • Support logistic and procurement department in day-by-day tasks related to smooth operation of the PIN Moldova, especially the fleet operation and base management.
  • Support the usage of PIN fleet, coordinates and assigns drivers to requests via the movement planner system on daily basis.
  • Assist LO with minor acquisitions, collections & deliveries.
  • Provide assistance to LO in the regular regional offices check-ups and their administration and will provide support in regional offices functioning.
  • Monitor the full operation of office and kitchen equipment, coordinates its servicing and maintenance and ensure order and cleanliness of all PIN's premises;
  • Support the implementation of general PIN Chisinau office arrangements;
  • Collect, check and submit for payment of invoices related to taxi, transportation and telecommunication services, utilities and fuel;
  • Support LO in keeping the inventory records of PIN´s assets and their archiving in ELO;
  • Support LO in PIN stock management and coordination of goods delivery to PIN warehouse or spots distribution.
  • Keep records (electronically) of incoming/outcoming correspondence and distributes incoming correspondence between individual departments;
  • Support LO in regular guest houses check-ups and their administration, collecting monthly utility bills and data from the apartments` gas, electricity and tap water counters;
Driver responsibilities (30%):
  • Responsible for tracking PIN fleet vehicles condition, will perform regular maintenance and repairs, seasonal operations and insurance/state technical inspections;
  • Responsible to ensure the vehicle is road worthy and there is sufficient fuel for the trips assigned;
  • Ensure that the assigned vehicle contains: The Logbook, Discharge of Liabilities, complete 1st Aid kit, defined tools (jack, straps, ropes, etc.);
  • Ensure that the vehicle is always clean (inside and out) and in running condition;
  • Correctly complete and update the Logbook (mileage, petrol receipts, services, repairs, accidents, other incidents, etc.) and disclaimers;
Requirements:
  • Bachelor’s degree in business administration, finance, or relevant fields, or completed Secondary Education with additional years of experience;
  • Proven experience in administrative or logistics environment;
  • Previous experience from working in the non-governmental or humanitarian sector will be value added;
  • Good computer literacy is required;
  • Valid driving licence;
  • Minimum of 2 years of driving experiences (date from first obtained driving license);
  • Language: Romanian and/or Russian (fluently read, write, speak) with basic English; 
  • Ability to work under pressure and meet deadlines;
  • Ability to organize and plan effectively;
  • Excellent communication skills.
  • Driver will be tested/reviewed by designated PIN staff member on regular basis.
