Education & Work Experience
Qualification:
- completion of Bachelor’s degree, Master’s degree in Data Management, Information Technology, Statistics, or a related field. Relevant vocational training or certifications in data entry/management may be considered.
- minim. 1 years of experience in data entry, database management, or a similar role, preferably within an NGO or humanitarian organization;
- familiarity with tools such as activity Info, KoBo Toolbox, Excel, Power BI, or similar platforms;
- proven experience in working with large datasets and ensuring data accuracy.
- strong attention to detail with a commitment to maintaining data accuracy and consistency.
- ability to work collaboratively in a team environment and communicate effectively with both colleagues and external partners.
- good organizational skills, with the ability to manage multiple tasks and meet deadlines.
- flexibility to adapt to changing circumstances and respond to emerging needs.
- willingness to travel frequently within Moldova, including to remote locations.
- languages – English/Romanian/Russian Fluent in all aspects

Position overview:
The Data Assistant plays a key role in supporting the data management processes within the MEAL department, contributing to accurate data entry, cleaning, and organization across various PIN projects. The Data Assistant is responsible for assisting in the daily handling of data, including maintaining databases, ensuring the quality of data collected in the field, and supporting the preparation of data for analysis and reporting.

- Perform timely and accurate data entry into relevant databases maintained, handle geographical, social financial and personal data in, e.g. ActivityInfo, KoBo, based on internal information, data collected in the field and partner reports, ensuring compliance with internal standards.
- Assist in the cleaning and validation of incoming data to ensure it meets quality control standards, flagging any inconsistencies or issues to the Data Officer and/or Coordinator.
- Help maintain updated records and data logs, ensuring that all digital files and databases are well-organized, stored and regularly backed up.
- Support the creation and maintenance of project spreadsheets, ensuring that all required fields are filled out correctly, and discrepancies are addressed promptly.
- Assist the Data & CFRM Unit in preparing data sets for analysis and reporting, organizing raw data into clear and usable formats. Extract knowledge from data acquired in form of statistics or reports; support other staff of MEAL department with producing reports and/or inputs to the different MEAL related deliverables, e.g. verification exercises, baseline, PDM/PIM, endline, evaluations, including preparing reporting templates and procedures.
- Provides regular update on different components of the project based on database information, including preparing inputs to Indicator Tracking Tool (ITT) and/or acting as ITT focal point responsible for consolidating data from different departments and partners.
- Help create custom lists, generate preliminary reports and statistics based on incoming data and prepare summaries as needed for internal reviews for different departments such as MEAL, Programmes, Finance, Logistics and partner feedback sessions.
- Support the Data & CFRM Unit in creating data visualizations and reports for internal and external stakeholders, using tools like Excel and Power BI. Supports other staff of MEAL department in data collection process, including preparation of KoBo questionnaires and maintaining PIN Moldova KoBo account, sampling, preparation of movement plans, oversee from the technical perspective data collection process, including daily monitoring of data entry process performed by enumerators.
- Participate in field visits, as needed, to support data collection processes in the field and/or via phone and provide on-the-ground assistance to PIN and partners’ project teams to improve the overall quality of collected data.
- Assist in communication with partners regarding data entry issues, troubleshooting technical challenges, and escalating more complex issues to other members of Data & CFRM Unit.
- Collaborate with field staff to ensure that all data collection protocols are being followed and provide support in collecting and transferring data from the field to central databases.
- Participate in training sessions on data collection tools (such as KoBo or ActivityInfo) and provide support to colleagues and partners when necessary.
- Maintain a strong understanding of data protection and privacy principles and support the Data & CFRM Unit and MEAL Department in ensuring compliance with PIN’s data protection policies.
- Learn new tools on the go, apply new solutions to day to day data problems.
