Salary range – 17.840,00 - 19.000,00 MDL gross  

Based on the assessment of the candidate's knowledge, skills, abilities and previous experience.

Education & Work Experience  

Qualification: 

- completion of College diploma/Bachelor’s degree/Master’s degree in Human Resources, Business administration, Psychology or relevant fields; 

- Minimum 2 years of experience in a similar field; 

- Skills in Microsoft Office Suite (Word, Excel, PowerPoint; Outlook), knowledge of HR administrative and archiving software such as NAVI, ELO is an advantage. 

˗ Strong personal and communication skills; ability to handle sensitive and confidential information with discretion; excellent organizational and time management skills; conflict resolution and problem-solving skills. 

˗ Understanding of HR best practices and legal requirements; awareness of the unique challenges and dynamics of working in the NGO sector. 

˗ High level of integrity and ethical standards; ability to work independently and as part of a team; cultural sensitivity and commitment to diversity and inclusion; 

- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access), Zoom/Skype/Teams/Google Meet; 

- languages – English/Romanian/Russian - Fluent in all aspects

Position overview:   

The HR Technical Assistant provides administrative and technical support to the Human Resources function, contributing to the implementation of HR processes across the employee life cycle. The role supports recruitment, onboarding, employee records management, and the preparation of HR documentation, policies, and procedures. Acting as a liaison between HR and employees, the position ensures effective communication and timely resolution of HR-related requests. In collaboration with the HR Manager and management team, the HR Technical Assistant supports compliance with HR standards and organizational policies. 

Duties & Responsibilities: 

  • Provide administrative and technical support to the Human Resources department in daily operations. 

  • Ensure compliance with organizational HR policies, procedures, and standards, and provide guidance to staff when needed. 

  • Maintain accurate and confidential employee records and HR databases in line with data protection requirements. 

  • Support the recruitment process by posting job advertisements, coordinating communication with candidates, and scheduling interviews. 

  • Assist in screening applications and coordinating interview and selection procedures together with hiring managers. 

  • Prepare recruitment-related documentation, including reference checks and communications with selected and non-selected candidates. 

  • Support onboarding and induction processes for new employees, including preparation of HR documentation and induction checklists. 

  • Assist with contract administration and support contract termination procedures in accordance with HR policies. 

  • Collect, verify, and organize timesheets and other HR data to support payroll preparation. 

  • Coordinate with internal departments to ensure timely and accurate HR and payroll-related information. 

  • Act as a point of contact for employees on HR-related administrative matters and ensure timely follow-up on requests. 

  • Support performance evaluation processes and assist with documentation and tracking of feedback cycles. 

  • Assist with visa and work permit procedures for international staff, in coordination with the HR Officer. 

  • Ensure professional handling of sensitive and confidential information in compliance with the Code of Conduct and Personal Data Protection Policy.
