Salary rangeAssistant: 13.870,00 - 14.770,00 MDL gross 

                           Technical Assistant: 17.840,00 – 19.000,00 MDL gross

Education & Work Experience  

Qualification: 

  • completion of Bachelor’s degree in Business administration, Finance, or relevant fields, or completed Secondary Education with additional years of experience; 

  • Proven experience in administrative or logistics environment; 

  • Valid driving licence, with minimum of 3 years of driving experiences (date from first obtained driving license);  

  • Computer literacy (independent user); 

  • strong attention to detail with a commitment to maintaining data accuracy and consistency. 

  • ability to work collaboratively in a team environment and communicate effectively with both colleagues and external partners. 

  • good organizational skills, with the ability to manage multiple tasks and meet deadlines. 

  • flexibility to adapt to changing circumstances and respond to emerging needs. 

  • languages – English/Romanian/Russian - Fluent in all aspects

Position overview:   

The Logistics Assistant role primarily focuses on providing logistics support (70%), including local office operations, fleet management, regional office administration, vehicle tracking, maintenance, seasonal activities, and procurement. Additionally, the position involves driving responsibilities (30%), requiring compliance with transport policies, safe driving practices, and ensuring the safety of all passengers. The ideal candidate has relevant experience in logistics or administrative support, holds a valid driver’s license, and demonstrates proficiency in at least one working language. A strong commitment to road safety and proper vehicle maintenance is essential for this role. 

Duties & Responsibilities: 

  • Coordinate and assign drivers daily using the movement planner system. 

  • Assist the logistics and procurement team with daily operational tasks, especially related to fleet and base management. 

  • Support regional office administration, including regular check-ups and maintenance. 

  • Handle minor acquisitions, collections, and deliveries for the logistics office (LO). 

  • Monitor and coordinate servicing of office and kitchen equipment; ensure cleanliness and order across all premises. 

  • Support the organization and functionality of guest houses, including collecting utility data and invoices. 

  • Assist in maintaining accurate inventory records of assets and update the ELO archive system. 

  • Collect, verify, and submit invoices for transportation, utilities, fuel, and telecom services. 

  • Manage stock records and support coordination of deliveries to warehouses or distribution points. 

  • Log and distribute incoming/outgoing correspondence between departments. 

  • Ensure the proper condition of fleet vehicles, including regular maintenance, technical checks, and insurance compliance. 

  • Verify that assigned vehicles have fuel, required tools, logbooks, and safety items (first aid kits, etc.). 

  • Maintain vehicle cleanliness and complete logbooks with accurate mileage, repairs, fuel receipts, and incidents. 

  • Follow Fleet Management and Security SOPs at all times. 

  • Provide support to colleagues during absences and assist with any other tasks required by the Operations team or Country Director.
